1. How can I launch a Firefox if it keeps saying, “Firefox is already running, and cannot be launched"? Also how to retrieve my bookmarks?

The following steps explain what you need to do: 

(i) Goto Finder, login-name -> Library -> Application Support -> Firefox

(ii) Goto Profiles -> xxxxxx.default folder and drag your bookmarks.html file on your desktop. This is to save your bookmarks before deleting all the files.

(iii) Now delete all the files and folders inside the Firefox

(iv) Restart your computer and launch firefox. Click Continue

(v) Goto Bookmarks->Organise Bookmarks. Click on the  button and Import HTML.

(vi) Click Continue after enabling the HTML file option box

(vi) Choose Bookmarks.html file, which is on your desktop and click open. 

 (vi) Goto Bookmarks and you could be able to see all your bookmarks now.

 

2. What can I do to start/stop applications automatically when I login?

Stop application:

(i) Go to System preferences from



(II) Select “Accounts”  under the System tab.

 

(iii) Goto “Login Items”  tab, select the application which you do not want to open automatically and click on ‘-‘ icon which is at the bottom of the screen

 

(iv) Now application is removed from the ‘Login Items’ and is stopped from starting automatically

 

Start application:

(iv) To start application automatically, click on ‘+‘ icon which is at the bottom of the screen

    (vi) Select the application you want to launch automatically and click on ‘Add’

     

    (vii) You should be able to open the application automatically when you log in


     

    3. How do I run a DVD on Netbooted computers?

    (i) Choose System preferences from  

     

     

    • Click on  under Hardware Section.

     

    • Change “Open DVD Player” into “Open other application” and click on it. 

     

    • Now Choose VLC.app or VLC under the applications and click  button.

     

    • You can now play your DVD.

     

    4. How can I launch Thunderbird if it keeps saying, “Thunderbird is already running, and cannot be launched"?

    Note: You can use e-mail in the OFS application.  You need not launch Thunderbird.

    To launch Thunderbird, you have to follow all the three steps stated below:

    I. Recreate account
    II. Setup Account and
    III. Set Address book

    I. Recreating account in Thunderbird

    (i) Goto Finder -> your login-name -> Library -> Thunderbird

     

    (ii) Delete all the files and folders inside the Thunderbird

     

    (iii) Restart your computer. Now you should be able to launch Thunderbird.

     

    II. Setting up the account in Thunderbird after deleting all the files and folders inside the thunderbird

    1. Launch Thunderbird after deleting the files. You can see the following screen and click continue

     

    2. Click “Create Account” button at the bottom of the screen

     

    3. Enable “I understand the risks” checkbox and click on “Create Account”

     

    4. Click on “Confirm Security Exception” button

     

    5. Disable “Always perform this check when starting Thunderbird” checkbox and click ok

     

    6. Enter the password and click ok

     

    III. Setting Address Book(OFS) in Thunderbird

    (i) Go to Thunderbird -> Preferences

    (ii) Select ‘Composition’  -> Go to ‘Addressing’  tab at the top

    (iii) Enable all the checkboxes

    (iv) Click ‘Edit Directories’

    (v) Following screen appears, Click ‘Add’

    (vi) Select the ‘General’ tab and enter the ‘Name’, ‘Hostname’, ‘Base DN’ and ‘Port number’ as shown

     

      1. Click ‘OK’
      2. You can see the following screen

      1. Click ‘OK’.

    Now your OFS internal address book has been set. Please contact training@ofs.edu.sg to retrieve your personal/external address book.

    5. I need storage quota – either for email or file server

    Send an email to training@ofs.edu.sg

     

    6. What do I do if there is a virus in my computer?

    If your desktop is a standalone (not netbooted)
    Approach Training to run the anti-virus software if your documents reside on your standalone desktop.

    If your desktop is netbooted
    Put all your documents in your network folders. Remember to logout at the end of the day as the system scans and removes virus from all your documents residing in your network folders every night.

     

    7. How can I tell if I am in netboot or local boot?

    If you are netbooted, then:

    • You can see the spinning globe, when you turn on your desktop.
    • You can see the icon  on the top right corner of your desktop.
    • You can see NetBoot in the finder

     

     

    If you are local booted, then:

    • You cannot see the spinning globe, when you turn on your desktop.
    •  You can see the only the  on your desktop.
    • You cannot see NetBoot in the finder

    8. What is the advantage of being in netboot?

    (a) Access to common applications and automatic version upgrades

    Applications that are common to everyone as well as applications that can be made common to everyone are available to you.  This means if there is a version upgrade in the applications, you get the upgrade automatically when you launch the application from the network.   If you are not in netboot and if you want to be able to use that particular application, you would have to install that application independently in your desktop (provided you have the necessary software license) and you will have to track all version upgrades on your own.

    (b) Virus scans of your documents on the server side

    If you save your documents on the network, there will be regular virus scanning of your network folders followed by virus removal, if any.
            
    (c) Automatic backups

    If you save your documents on the network, there will be automatic backups of all your documents.

    9.  How To Filter Messages From Webmail

    1. Login to MyOFS and open Webmail
    2. Click on Folders icon, you will get the following screen



    3. Type in a new folder name e.g. Requisition in the text field, ‘as a Subfolder of’ INBOX and click Create icon.


    4. Click Options  icon
    5. Now click 'Message Filters’  link, the following screen appears



    6. Click on 'New' link
    7. From the dropdown list select 'Subject' for Match field



    8. Type ‘Requisition’ in Contains field and from the dropdown list select 'INBOX.Requisition' for Move to field



    9. Click Submit button

     

10. How to set Address Book in Mail?

(i) Go to Mail -> ‘Preferences’

(ii) Select ‘Composing’  -> Click on ‘Configure LDAP’

(iii) Following screen appears. Click on the at the bottom

(iv) Enter the Server Info ‘Name’, ‘Server’, and ‘Search Base’, as shown

 

(v) Click ‘Save’. You will get the following screen

(vi) Click ‘Done’

Now your OFS internal address book has been set. Please contact training@ofs.edu.sg to retrieve your personal/external address book.

11. How to access your files on Windows XP or Vista or any other Operating System from home?

(i) Type in the URL https://my.ofs.edu.sg/user/your login name/ and the following screen will appear.


(ii) Enter your user name and password. Click ok.

(iii) Now you can access your personal, public and web documents folders.

12. What can I do if I get this message in Safari “Do you want to allow the new version to access the same KeyChain items as the previous version?”

1. Go to Finder -> Application -> Utilities -> KeyChain Access

2. KeyChain Access -> Preferences

3. Choose ‘General’ tab. click on ‘Reset My Keychain’

4(i) Enter your system password

You should be able to create your new keychain now. Click ‘OK’.



4(ii) On the other hand, if you get the following screen, click ‘Ok’

Choose ‘Repair’, enter your password and click on ‘Start’

Repair Completed.

 

13. How to handle virus infected OpenOffice document?

Copy the infected file and paste it to a new file. Remember to trash the infected file after you have copied.

 

14. What are the steps to launch Mail application?

(i) Go to Finder -> Application -> Click on Mail application

 

(ii) You can see the following screen, click ‘Continue’

(iii) Choose ‘Account Type’ -> IMAP, enter your email address and click ‘Continue’

(iv) Type the ‘Incoming Mail Server’ as imap.ofs.edu.sg and enter your ‘Password’. Click ‘Continue’ now

(v) Check the ‘Outgoing Mail Server’ and click continue

(vi) After verifying the information click continue to save the settings

(vii) Click ‘Done’

You should be able to launch Mail application now

 

 

15.  What can I do, if my email address is showing incorrectly when I send mail to others?


1. Login to OFS application using firefox.

2. Click Tools -> Clear Recent History


 

3. Check all the items as shown below and Click “Clear Now”

4. Logout from OFS application and quit firefox

5. Now launch firefox again, type your login-id and Password

6. Click “Check email” option in your login page

7. Click “Options” to check personal information
             

8. Click “Personal Information”


9. Correct the name and the email address 

 

16. What can I do if my fileserver space goes up?

Note: If you use both 'Tiger' & 'Leopard' machines, you need to house keep in both the systems.

When you download videos, music or photos, it automatically saves in their respective folders:

  1. Housekeep Music folder, go to ‘Login Name’ -> ‘Music’ -> iTunes

 

  1. Go to ‘Login Name’ -> ‘Pictures’ -> ‘iPhoto Library/Photo Booth’ and housekeep

 

  1. Housekeep Movies folder, go to ‘Login Name’ -> ‘Movies’

 

  1. Check ‘Mail Downloads’ folder, go to ‘User Name’ -> ‘Library’ -> ‘Mail Downloads’ and delete its contents.



    Note: Please check the settings of your Mail application. Go to Mail -> Preferences-> Accounts -> Advanced-> ‘Keep copies of messages for offline viewing’ dropdown and choose "Don't keep copies of any messages" option.

 

  1. Go to ‘User Name’ -> ‘Library’ -> ‘Printers’ delete the contents in the "Printers" folder.

 

  1. Housekeep all the unwanted files in the Desktop and Document folders.
  2. Finally empty the Trash.

 

 

17.  How to housekeep Mail server when my quota goes up?

  1. Housekeep all unwanted emails in your Inbox, Drafts and Sent folders
  2. If you have any other folders in your Inbox housekeep them



  3. Finally empty the ‘Trash’

 

18. When OpenOffice crashes what should I do?

  1. Quit OpenOffice to clear OpenOffice profile
  2. Go to Finder -> Login Name -> Library -> Application Support and delete OpenOffice.org



  3. Now go to Finder -> Login Name -> Library -> Preferences and delete this file org.openoffice.script.plist



  4. Launch OpenOffice now
  5. Go to OpenOffice -> ‘Preferences’



  6. Go to ‘General’ -> Enable ‘Use OpenOffice.org dialogs’ in both ‘Open/Save and Print dialogs’


 

 

19. How do I create a new group of people and send email to them?

I. Thunderbird

  1. Go to Window -> Address Book



  2. Click on “New List” on the Address Book and the following screen appears



  3. Select “Add to” as Collected/ Personal Addresses, enter “List Name”, add the email addresses and click “ok”



  4. “Group A” has been created now with the given email addresses



  5. You can send email to the created group now


II. Mail

  1. Click on “New Message” and the following screen will appear



  2. Enter the email addresses for which you want to create a group



  3. Click on the arrow and go to “Open in Address Book”



  4. Click on the “+” button at the bottom of the group column and add the name of the new group



  5. Drag and drop the email addresses from the “New Message” screen to the new group



  6. Now you can see the created new “HS Group” in the list and can send mail to that group
